JOB DETAILS:
ROLE PURPOSE
To offer administration support in a proactive manner to the BA Head of Syngenta Southern Africa Business Area and ensure effective and efficient delivery of assigned Administrative responsibilities.

Accountabilities
• Managing the BA Head calendar and appointments
• Managing and coordinating the BA Head retirements, travels and external communication preparation
• Coordination, booking and management of events as required e.g. off-site conferences for various internal and external teams.
• Office Management (information, communication and resources, including the procurement and management of these resources such as stationery and mobile phone devices) and courier management.
• Manage flight bookings and travel arrangements, including hotel bookings at agreed corporate rates, for all staff and their visitors as required. Liase with the appointed Travel Agent and apply travel regulations.
• Assist in preparation of procurement documents for all goods and services including LPO generation for all suppliers.
• Follow up with suppliers on the delivery of goods and services and thereafter advise them when payment by Syngenta has been done
• Assist with preparation of tender documents or proforma invoices as required.
• Contact and build relationships with new and existing Syngenta Southern Africa Limited clients internally and externally.
• Filing and documentation of all company resources, activities, contracts and charters.
• Manage and coordinate company Logistics and fleet management (i.e. cars log books, fuel allocations and spare keys custodian)

Qualifications
KNOWLEDGE, EXPERIENCE & CAPABILITIES
Critical Experience And Knowledge
• University Degree or Diploma in Business Management/Administration or other related field.
• 5 years or more experience in relevant field.
Critical Technical And Professional Capabilities
• Advanced planning & organisational skills.
• Effective liaison with other business functions and staff on site.
• Excellent communication and interpersonal skills.
• Time management skills.
• Excellent computer skills, especially relating to Microsoft Word, Excel, Power point & Outlook.
• Shows initiative, proactive and be a willing team player.
Other Behaviours Critical For The Role

• Ability to work with minimum supervision.
• Well natured and mature people management skills.
