Reliance Technology Limited is seeking a highly organised, professional and trustworthy individual to serve as Personal Assistant to the Managing Director.

The successful candidate will provide executive and administrative support, coordinate the Managing Director’s schedule, manage correspondence, follow up on assigned tasks and undertake official driving duties when required.

KEY RESPONSIBILITIES

  • Manage the Managing Director’s diary, meetings and appointments.
  • Prepare letters, reports, presentations and other business documents.
  • Receive, screen and direct telephone calls, emails and visitors.
  • Organise meetings, prepare agendas and record minutes.
  • Monitor action points and follow up with responsible employees.
  • Coordinate travel, accommodation and transport arrangements.
  • Maintain confidential executive records and filing systems.
  • Assist with quotations, tender documents and business correspondence.
  • Liaise professionally with customers, suppliers and other stakeholders.
  • Drive the Managing Director to meetings and official engagements when required.
  • Undertake official company errands and assignments.
  • Perform other duties assigned by the Managing Director.

MINIMUM REQUIREMENTS

  • Diploma or bachelor’s degree in Business Administration, Secretarial Studies, Office Management, Public Administration or a related discipline.
  • At least two years’ experience as a Personal Assistant, Executive Assistant or Senior Administrative Assistant.
  • A valid Zambian driver’s licence is mandatory.
  • Must be an active and competent driver with a clean driving record.
  • Must be willing and available to undertake official driving duties when required.
  • Excellent written and spoken English.
  • Strong Microsoft Word, Excel, PowerPoint and email-management skills.
  • Excellent organisation, communication and time-management abilities.
  • Ability to handle confidential information with discretion.
  • Professional appearance and interpersonal conduct.
  • Ability to work independently, prioritise assignments and meet deadlines.
  • Experience preparing business correspondence, quotations or tender documents will be an advantage.
