JOB DETAILS:
Overall Purpose
• To implement group procurement procedures efficiently,
• To implement Stores control for vehicle spares and general equipment.
• To ensure stores integration to accounting and cost control systems (SAP)
• To ensure operating stock levels for Zambia Operations are correct to meet demand

Responsibilities and Duties:
• Execution of all warehouse functions with the highest level of quality
• Filing of all warehouse-related documentation for auditing purposes
• Process stock transactions in SAP to ensure physical stock corresponds to SAP stockExpedite POs and communicate ETA’s and delays to all relevant
• Investigate stock variances, and delivery queries, identify and implement possible ways to prevent future variances/queries
• Receive goods that are delivered by the suppliers. Check goods for visual defects and return them to the vendor if any are found. Sign delivery note for proof of receiptCompare POD with the system to ensure the correctness of delivery
• Move goods within and around the warehouse for effective and efficient storage of products, as and when required
• Continually monitor stock for re-Perform cycle counts and periodic spot checks of warehouses.
• Communicate discrepancies to the Finance
• Manager and Procurement Lead
• Source suitable suppliers who can supply on time, in the specification and at the right quality
• Update min and max levels for ordering to ensure continuous availability of parts
• Pick, pack and issue all requisitions in a timely manner and in adherence to agreed SLA’s
• Provide clerical and administrative support to management requested

Knowledge/Skills and Experience:
Trade qualification
Computer literacy
High level of attention to detail
Experience in general warehousing procedures
Hours: Monday to Friday plus alternate Saturday mornings

The Examinations Council of Zambia (ECZ) was established by an Act of Parliament No. 15 of 1983, Chapter 137 of the Laws of the Republic of Zambia to set and conduct Examinations and award Certificates and diplomas to successful candidates. The vision of the Council is to be an examining body of excellence.
Applications are invited from suitably qualified and experienced candidates to fill the following vacant position under the Administration Department.
DRIVER (1), GRADE ECZ 6
Reporting to the Transport Officer, the Driver will safely drive institutional vehicles when undertaking official duties including transporting employees, organization clients and ECZ assets as requested.

DUTIES AND RESPONSIBILITIES
• Drives ECZ vehicles to various destinations to carry out official duties
• Prepares accident and theft report and submits to the Transport Officer
• Reports any malfunction of vehicles to the Transport Officer
• Inspects vehicles for official use, checking tyre pressure, oil level indicators and other basic mechanical or electrical elements to ensure compliance with traffic rules
• Transports ECZ assets as requested
• Fuels vehicles and monitors consumption
• Prompts Transport Officer to service, licence and insure vehicles in good time
• Undertakes basic checks and ensures that vehicles are in good road worthy condition
• Maintains service records for ECZ vehicle(s) and ensures regular servicing
• Maintains clean vehicles
• Sets targets and agrees to performance measures in order to meet the strategic objectives of the institution

MINIMUM QUALIFICATIONS AND EXPERIENCE
• School Certificate or its equivalent
• Craft Certificate in Automotive Mechanics and Class C with Public Service Vehicle
• Minimum 1 year experience as driver

The Required Skills for this Role Include:
• Making sure that you check the vehicle in person by filling in the check list before starting off and report any defects.
• Making sure that you have enough rest before you start your journey to avoid fatigue and other dangers along the way.
• Knowing your route very well and plan for your journey before starting off to avoid inconveniences.
• Making sure the vehicle is road worthy as regards to Road Tax, Insurance and Certificate of fitness.
• Ensuring that you check and verify the items/products you are carrying and make sure you have right documentations, as any shortage will be at your own cost.
• Ensuring that your truck/cargo is properly secured and in working condition before departure, container door locks, tents, straps and ratchets, fridges and ventilation fans.
• Adherence to the Zambian traffic rules and regulations under Road Traffic Act and company rules and refer to driver’s instruction manual and drivers hand book and safety programme.
• Communicating back to the office for updates and make sure the vehicle and cargo are safe.
• Reporting any unplanned stops or circumstances that puts any risk to the driver himself, the truck or the cargo carried.

The Required Qualifications are:
• Grade 12 certificate or equivalent with at least five ‘O’ Levels.
• Valid driving licence class C PSV and CE PSV
• A minimum of 2 years driving experience.
• Mechanical knowledge/Auto electrical will be an added advantage.

The Required Attributes Include:

• The driver should be able to write and interpret figures.

• Maintain absolute customer focus, keep the customer fully informed on progress, and effectively manage their expectations through accurate tracking reports and constant liaison which is relevant, reliable, reactive, and convenient.

• Line Manager for your assigned Assistant Fleet Manager: ensuring strong leadership, effective management, and appropriate delegation. Compile x2 assessment reports on performance for management review.
• Serving as a general assistant to the Operations Manager seeking continual improvement and promoting best practices amongst the operations team as well as Assist Key Account Managers to seek cargo for the fleet.

• Ensure driver success through relationship building, effective communication, positive recognition, and timely addressing of issues (personal and performance related).
• Assist/coach drivers on time management issues by preparing a rest time flexible plan to assist in avoiding fatigue for drivers on and off the road.
Hold drivers accountable for quality performance; address non-performance or substandard issues timely as well as participating in disciplinary processes.
• Recognize positive performance
• Manage drivers in fulfilling their contractual agreements ( i.e employment contract, 100L balance agreement, drivers conditions) and compliance with company policies and procedures.
• Listen and communicate effectively with other non-driving staff; function as a liaison between the driver and other departments to facilitate problem resolution.
• Responsible for Driver Retention by retaining quality driving professionals.
• Monitor effectively benched drivers and those under probation by allocating tasks, training weekly, and tracking daily completion of duties with supervisors responsible.
• Proper accounting for drivers when in Solwezi by updating the driver dashboard each morning and sending reports to the workshop, hr, and operations department on drivers returning from trips and advising their status i.e. bench, disciplinary, leave,s etc.
• Reviewing all drivers’ information during the screening phase of recruitment and interviewing candidates thereafter to ensure quality drivers are joining the company.
• Monitoring Driver Trip KPI Reports, ensuring all failed Driver KPIs are fully investigated, establishing the route cause of failure, co-ordinating required rectification with HR (Discipline), Training (Gaps identified), Wksp (Wksp SOPs), LoadMaster (Safe loading), Admin (Vehicle and driver documentation)and Fleet Manager (Journey management/documentation).
• Conducting driver morning parades, promoting best practices,s and briefing on areas for improvement during these morning parades.
• Carry out road patrols and suggest the establishment of a proper policing strategy to ensure drivers are complying with company values, maintaining a professional image and professional customer interface.
• In conjunction with the loadmaster help to ensure drivers are correctly equipped by carrying out kit checks and holding drivers accountable for any damage and losses.
• In conjunction with Fleet Managers, ensuring drivers are dispatched with the correct documentation and they are satisfied that they have been fully briefed prior to departure.

• Driver Utilization: 90%
• Ensure 90% of drivers are meeting 5/5 scores on the driver trip KPI.

EDUCATION, SKILLS, AND QUALIFICATIONS
• A minimum College Diploma in Business/Logistics/HR or any other relevant discipline.
• Ability to operate the phone and email communication.
• Computer knowledge and data entry skills are necessary to effectively complete job duties.
• Geographical knowledge is required in order to determine driver difficulties and bring about solutions.
• Ability to maintain composure and react professionally during periods of stress with somewhat limited information periodically.
• Demonstrate the ability to anticipate and evaluate problems and situations and draw logical conclusions and implement practical solutions.
