JOB DETAILS:
• BCP is a leading African forest carbon company which seeks to sustainably finance wildlife and habitat conservation through the forest carbon markets. We are working with Community and Government partners to help improve the conservation management of over 1.2 million hectares of globally significant wildlife habitats in Zambia, and to benefit 230,000 people. Most of the project areas are located in Game Management Areas bordering strategic National Parks in Eastern and Lusaka Province, and are governed by management agreements between local communities, the Government of Zambia, and BCP.
• BCP is seeking to recruit a dynamic individual for the position of Human Resource Officer (HRO) to be based in Mongu, with travel to support various BCP Site Offices as required. As a Human Resources Officer (HRO) you will assist to develop, advise on and implement policies relating to the effective use of employees in the organization. In this role, the aim is to ensure that the organization employs the right balance of employees in terms of skill and experience and that training and development opportunities are available to colleagues to enhance their performance and achieve BCP’s Vision & Mission and its goal to being the “most desirable employer in Zambia”. The role reports to the Senior Human Resources Officer.

Stuff We’ll Trust You With.
• Payroll computation and maintenance of accurate employee data on the payroll system.
• Monthly Timesheet management process.
• Leave updation & management.
• Accurate employee database, in both hard and soft copy.
• Accurate record keeping in relation to employee employment details and timely probation and confirmation follow-ups and closure.
• Facilitate employee adherence to HR related Policies and SOPs’ and effectively implement Training for all employees.
• Recruitment processes, including On-boarding and Off-boarding.
• Regulatory compliance according to the Zambian Labor Laws.
• Preparation of accurate HR related activity Reports.

Recruitment/Onboarding (30%)
• Assist Recruitment Managers with interview preparation logistics.
• Ensure all new joiners complete engagement-related documents and these are properly filled in and filed on employees’ respective files.
• Ensure medical registration protocols are done for all new joiners within the stipulated time frame.
• Facilitate orientation for all new joiners within set timelines and in line with the onboarding process.
• Collaborate with SHRO to ensure the induction is conducted at both functional and organizational levels within stipulated timelines.
• Maintain a confirmation tracker for all new joiners and engage respective line managers whenever confirmations are due.
• Attend to all requests for introductory, confirmation, appointment, transfer, and recommendation letters.
• Ensure both physical and digital employee records are filed accordingly and on time.
• Attend to and resolve general staff queries within your control.

Manage the HR System (30%)
• Maintain overall responsibility for the ESS HR system, including testing and controlling to ensure data and system integrity.
• Analyze the efficiency of our ESS HR system, gathering user data, and monitoring performance metrics.
• Manage the ESS HR system administration to ensure smooth interaction/service delivery for staff.
• Create new Joiner profiles in ESS, update employee data, and terminate leavers.
• Ensure the Leave module in ESS is always updated and reconciled on a monthly basis.
• Providing system training and technical support for including ESS employee self-service and BCP one training.
• Ensure the employee database is always updated.
• Maintain contract tracker for all Interns and Temp employees and ensure copies of contracts are filed.
• Assist with auditing HR processes and documents with regard to hiring and termination of service whenever required.
• Timely submission of regular and ad-hoc HR Reports such i.e. Headcount, Attrition, and monthly leave reports among others to SHRO.

HR Operations (40%)
• Conduct background checks for all new joiners.
• Periodically in conjunction with ECZ and higher learning institutions check for authentication of academic and professional qualifications.
• Collaborating with Departmental Heads to maintain leave plans and reconcile leave on a quarterly basis and ensure all leave records are corrected/updated in the system.
• Maintain a checklist on all staff files and ensure all documents listed are maintained on each staff file.
• Own the ESS HR system and maintain staff records and documents in the ESS HR system. Update information as and when and add new staff records on the system.
• Maintain a tracker for all HR related action points coming from HR meetings.
• Employee Exit management: Ensure all leavers are terminated from all systems and applications before their last working day and that all documentation is completed and signed off.
• Assist in arrangements of Disciplinary Hearings by ensuring that all relevant documents are on the disciplinary file and all attendees have copies of the file.
• Initiate and track procurement requisitions for HR department.
• Preparation of all payroll inputs and submission to SHRO for reviewing before processing.

Alliance Builders Wanted.
• Minimum 3 years’ relevant experience in Human Resources in a project management or HR support function.
• First Degree in any Social Science, Human Resource Management, or Psychology.
• Project management, Business management experience.
• Full registration with Zambia Institute of Human Resource Management.
Skills:
• Appreciation of local labour laws and regulatory framework.
• Possess experience in HRIS administration with practical experience with HR database administration.
• Proficiency in report writing and analytical skills.
• Dynamic, pro-active, and professional with strong planning, organisation, creativity, delivery skills and ability to work with tight deadlines.
• Demonstrate a responsible attitude towards work and the ability to use own initiative.
• Demonstrate a high level of professionalism and confidentiality.
• Demonstrate excellent interpersonal skills.
• Presentation and facilitation skills.
• Passion and commitment for BCPs mission.
