Cooperative Resilience and Equity Project (CORE)

Background
Land O’Lakes Venture37 is implementing the Cooperative Resilience and Equity project (CORE), a cooperative development program, in Zambia and Rwanda. CORE is five-year project (October 2023- October 2028) funded by the United States Agency for International Development (USAID). The goal of the CORE activity is to foster vibrant, sustainable cooperative ecosystems in Zambia and Rwanda, in which self-managed agricultural cooperatives and all their members flourish economically and socially.
Venture37 is inviting companies to apply for registration as preferred vendors or brokers in one or more of the categories listed below.

1) Categories
I. IT Equipment and Services
II. Furniture and Fittings
III. Office Groceries/Hardware
IV. Office Stationery/Printing and Branding
V. Genset Service and Fuel
VI. Maintenance Services (Engineering, Plumbing, Electricians e.t.c)
VII. Garbage Collection
VIII. Talk time (MTN, Zamtel, Airtel)

2) Service Areas
Lusaka only

3) Price
Once successful, agreed prices must be net, less any discount offered, and quoted in Zambian Kwacha. The total price must include all delivery costs of goods/services to the address of Venture37 below.

4) Validity
It is anticipated that preferred provider agreements will be issued for a period of 1 year.

5) VAT/Taxes
Successful vendors/brokers will be requested to quote VAT amounts separately. A copy of Venture37’s VAT exemption certificate will be shared when obtained.

6) Payment
Payment will be made within 15 days from the date of delivery of goods and/or service, subject to receipt of any supporting documents delivered in good order by the seller.

7) Award
Award will be made to the bidder(s) that are scored highest on the following criteria:
Evaluation Criteria Value
Proof of experience with similar arrangements with INGOs 40%
Estimated Time of Delivery of Goods/Service 30%
Ability to deliver goods/services and be paid within 15 days afterwards 30%

8) Right to Cancel Solicitation and Reject Offers
Land O’Lakes reserves the right to accept or reject any offer or cancel or reissue this call without assigning any reason.

Selection as a preferred provider does not guarantee any minimum order amount, and Venture37 reserves the right to procure goods or services from any provider, regardless of whether they are included on a Preferred Provider List, at its sole discretion.

9) Submission of Applications
Email your application, indicating the category in the subject line and state whether you are registering as a vendor or broker, to: zambiaprocurements@landolakes.com. If applying for multiple categories, use separate email threads.

Applications should consist of:
1) Application Letter
2) Business Registration Documents
3) Company Profile highlighting NGO’s you have worked with or currently working with on similar agreement(s)
4) Addresses of Company
5) Tax Compliance Certificate
6) Regulatory Authority Certificate (Depending on the line of business)

10) Expenses relating to submission of the application
Issuance of this call in no way obligates Venture37 to award a contract or purchase order and bidders will not be reimbursed for any costs associated with the preparation of this bid. All preparation and submission costs are at the bidder’s expense.
